Privacy Policy — Pembermoor

This policy explains what personal information Pembermoor Systems LLC collects, why we collect it, who we share it with, and what you can ask us to do with it. We are the controller of the information described here. If anything below is unclear, email [email protected] and we will explain it in plain words.

We do not sell personal information, and we never have. We do not share it with data brokers, and we do not use it for advertising unrelated to the service you asked us for.

1. What we collect

When you contact us

Your name, business name, email address, telephone number, zip code, and whatever you write in your message.

When you buy from us

Your billing name and address, the email address for your receipt, your order details, and the logo, images and copy you supply for your advertising. Card payments are processed by our payment processor: we receive a confirmation, the card brand and the last four digits, and never your full card number.

When you use a service we operate for you

Where we run review requests, missed‑call text‑back or a voice agent on your behalf, we process your customers’ telephone numbers, names, messages and call transcripts as your service provider, on your instructions. That information belongs to you; we do not use it for our own purposes and we delete it on your instruction or when our agreement ends.

When you visit this website

Our host records standard server log information — IP address, browser type, the page requested and the time — for security and to keep the site running. This site sets no advertising or tracking cookies and embeds no third‑party trackers. If we later add analytics, this policy will say so before we switch it on.

2. Why we use it

To answer your enquiry and give you a quote.
To perform the contract — design, print, install, host, operate and support.
To take payment, issue invoices and handle refunds.
To meet our legal and accounting obligations.
To defend against a dispute or a fraudulent transaction.
To send you occasional service messages about an order you placed. We do not send marketing email to customers who have not asked for it, and every message we send has an unsubscribe link.

3. Who we share it with

Only the providers we need to do the work, and only what each one needs:

Our payment processor to take card and bank payments securely.
Printers to produce your slot artwork.
Email, SMS and telephony providers to send the messages and operate the telephone services you have asked us to run.
Our hosting and file storage providers to run this site and store your files.
Our accountant and, where required, a professional adviser or a public authority, when the law requires disclosure.

We do not share a host venue’s details with advertisers, or an advertiser’s details with other advertisers, beyond what is printed on the board itself.

4. Where information is held

We are a United States company and our providers store information in the United States. Members of our team work from Taiwan and may access it from there in order to serve you. We take the same care with it wherever it is accessed from.

5. How long we keep it

Enquiries that do not become orders: up to 24 months, then deleted.
Order and artwork records: for the term, plus 7 years, to meet accounting and tax record‑keeping requirements.
Your customers’ data that we process for you: deleted within 30 days of your instruction or of the end of our agreement, unless you ask us to export it first.

6. How we protect it

This site is served over HTTPS. Access to customer records is limited to the people who need it and is protected by individual accounts with multi‑factor authentication. We do not store card numbers anywhere in our systems. No system is perfect: if a breach affects your information, we will tell you and the relevant authority as quickly as the law requires.

7. Your rights

Whoever and wherever you are, you may ask us to:

tell you what we hold about you and give you a copy;
correct anything that is wrong;
delete what we no longer need to keep;
stop sending you messages;
stop processing while a complaint is resolved.

Email [email protected]. We answer within 30 days and we do not charge for it. We will not treat you differently for exercising a right.

California residents

Under the California Consumer Privacy Act as amended, you have the rights to know, to delete, to correct, to opt out of sale or sharing, and to limit the use of sensitive personal information. We do not sell or share personal information as those terms are defined, and we do not collect sensitive personal information for the purposes the Act restricts. You may use an authorised agent; we will ask for proof of authority.

Visitors in the United Kingdom and the European Economic Area

Our lawful bases are performance of a contract, compliance with a legal obligation, and our legitimate interest in running and securing the business. You may also object to processing based on legitimate interest, ask for your data in a portable format, and complain to your national data protection authority.

8. Children

Our services are sold to businesses. This site is not directed at children and we do not knowingly collect information from anyone under 16. If you believe we have, email us and we will delete it.

9. Changes to this policy

If we change this policy we update the effective date at the top of the page, and where the change is material we tell active customers by email before it takes effect.
